Purpose of the Role

The Officer: Acquisition Management – Quotations will support procurement and supply chain operations by managing quotation processes, supplier interactions, RFQ administration, reporting, and acquisition management activities. The successful candidate will help ensure compliance with SCM legislation and maintain efficient purchasing arrangements within the organization.

Key Responsibilities

Acquisition Management

  • Receive and validate procurement requests
  • Compile and issue RFQ documents to suppliers
  • Manage supplier responses and RFQ evaluations
  • Maintain purchase requisitions within the system
  • Create and issue purchase orders
  • Follow up on deliveries and supplier performance
  • Prepare Bid Adjudication Committee submissions
  • Conduct supplier market research and price negotiations
  • Coordinate BEC meetings for complex RFQs
  • Ensure compliance with SCM legislative frameworks

Reporting

  • Assist with preparation of regulatory reports
  • Contribute to management and performance reporting systems

Stakeholder Management

  • Respond to internal and external procurement inquiries
  • Provide ongoing feedback to business units
  • Maintain supplier and vendor relationships
  • Ensure timely invoicing and payment processes

Records Management

  • Archive procurement documentation and requisitions appropriately

Minimum Requirements

Qualifications

  • Bachelor’s Degree or Advanced Diploma in:
    • Supply Chain Management
    • Finance
    • Related qualification

Experience

  • Minimum of 3 years’ experience in acquisition management or quotation administration
  • Experience within State-Owned Enterprises (SoEs) will be advantageous
  • Strong understanding of procurement and supply chain processes
