About the Role
A fast-growing skincare company is looking for a reliable and detail-oriented Administrator & Front Office Assistant to support daily order processing, logistics coordination, and front-office operations. This role is ideal for someone who enjoys administration, customer interaction, and working in a structured, fast-paced environment.
You will play a key role in ensuring accurate order fulfilment while being the first point of contact for visitors and customers.
Key Responsibilities
Order Processing & Administration
- Review and process customer orders received via phone, email, online platforms, stockists, and distributors
- Book deliveries and create shipments using Shopify (Courier Guy) and Blueline, ensuring cost-effective courier selection
- Process customer returns and exchanges when required
- Generate waybills, labels, and reports and print to the correct printers (Toshiba / Epson)
- Accurately file all documentation, including reports, blue copies, and write-offs
- Assist with weekly stock takes
- Double-check products pulled for invoicing accuracy
- Refill front-office shelves as required
Reception & Customer Service
- Greet visitors and direct them to the appropriate department
- Assist walk-in clients with product recommendations and order placement
- Answer incoming phone calls and handle enquiries professionally
- Maintain a clean, organised, and welcoming front desk
- Receive and manage incoming and outgoing deliveries and collections
Requirements
- Previous experience in administration, order processing, or logistics (preferred)
- Experience with Shopify, Sage, or similar systems (advantageous)
- Basic computer literacy (email, document filing, printing)
- Background in accounting or finance (beneficial but not essential)
- Previous experience in the beauty or cosmetics industry (beneficial)
