Key Purpose

To provide administrative, compliance, and coordination support to the Risk Specialist by maintaining accurate health & safety records, supporting audits, coordinating training, and ensuring legal compliance documentation is up to date.


Key Responsibilities

Health & Safety Administration

  • Maintain records for incidents, risk assessments, training, toolbox talks, safety meetings, and corrective actions
  • Update safety registers and compliance tracking systems

Safety Systems & Reporting

  • Capture and manage data on health & safety systems
  • Assist with safety performance and compliance reporting

Audits & Inspections

  • Prepare documentation for internal and external audits
  • Track inspection findings and follow-up actions

Training & Inductions

  • Coordinate H&S training sessions, medicals, and onboarding inductions
  • Maintain training and certification records for employees and contractors

Legal Compliance & Documentation

  • Manage legal appointments, permits, contractor files, and compliance documents
  • Track expiry and renewals (fire equipment servicing, PPE calibration, etc.)

Communication & Engagement

  • Distribute safety communications and awareness material
  • Assist with safety days, toolbox talks, and H&S campaigns

General Administration

  • Schedule H&S meetings and prepare agendas and minutes
  • Provide day-to-day administrative support to the Health & Safety team

Requirements

Education

  • National Certificate or Diploma in Office Administration, Health & Safety Administration, or equivalent
  • H&S-related coursework (advantageous)
  • AMTRAC or similar H&S exposure (beneficial)

Experience

  • 2–3 years administrative experience
  • Experience in a manufacturing or industrial environment preferred
  • Prior exposure to Health & Safety or Compliance functions
  • Knowledge of document control and regulatory compliance processes

Skills & Competencies

  • Strong Microsoft Office skills
  • Experience with health & safety systems and tools
  • Excellent organisational and time-management skills
  • High attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Ability to manage confidential information
  • Knowledge of the South African OHS Act (advantageous)
