About the Clover Administrative Clerk Position
The purpose of this position is to provide administrative support for Safety, Health and Environmental (SHE) management, while helping to implement and maintain quality and food safety requirements.
The Administrative Clerk will play a supporting role in ensuring accurate record-keeping, compliance with relevant requirements and effective coordination of SHE, quality and food safety activities. The position contributes to creating a safe, compliant and efficient working environment within the production operation.
Minimum Requirements
Applicants should have:
- Grade 12 or equivalent to NQF Level 4
- 2–3 years of relevant work experience
- Experience applying job-related concepts, techniques and processes at the required level
- Fluent Business English
- Intermediate computer literacy
- Good administrative and organisational skills
- Ability to communicate effectively and work with different stakeholders

Main Duties and Responsibilities
The successful candidate will be responsible for supporting a range of SHE, quality and food safety administration activities, including:
- Ensuring Safety, Health and Environmental compliance
- Providing SHE administrative support within Production
- Compiling and distributing SHE reports
- Administering SHE-related policies and procedures
- Preparing and uploading BSC reports onto SharePoint
- Preparing and distributing audit reports
- Responding to ad-hoc requests and observations
- Providing administrative support during SHE, ISO 14001, ethical, maintenance and food safety audits
- Providing input for management meetings
- Taking and distributing minutes for SHE-related meetings
- Monitoring task completion on the Entropy system
- Providing feedback and support to branches regarding outstanding tasks
- Assisting with SHE-related activities and projects
- Administering and supporting the Entropy system
- Reporting on the performance of the SHE Management System
- Coordinating employee and contractor inductions
- Assisting with Maintenance and Capex-related issues
- Managing contractor files and approval processes
- Supporting external legal compliance audits
- Assisting with SMETA ethics audits
- Supporting ISO 14001 surveillance and certification audits
- Assisting with planning internal and external audits
- Arranging training and appointment letters
- Coordinating pest control services
- Checking pest control reports and following up on outstanding actions
- Monitoring and closing audit findings and recommendations
- Presenting SHE and compliance trends on a weekly basis and during audits
