Purpose of the Position
The successful candidate will provide general administrative support to the Senior Manager and staff within the Timetable Department. The role involves assisting with University Timetable Committee (UTC) activities, timetable administration, venue bookings and departmental financial duties.
Key Responsibilities
The Administrative Assistant will be responsible for:
- Processing and administering University Timetable Committee (UTC) requests for timetable changes through the University’s EDRMS system, Perceptive Content.
- Providing first-line support and training to academic staff on the use of UTC eForms.
- Maintaining records and providing administrative support for fortnightly Timetable Department staff meetings, including taking minutes.
- Maintaining departmental records relating to staff matters, including leave, system access, organograms and asset lists.
- Assisting with various departmental administrative tasks.
- Appointing temporary staff on Oracle when required.
- Providing support as a stand-in for the other Timetable Department Administrative Assistant.
- Processing ad hoc venue booking requests across campuses as a CELCAT Rooming Administrator.
- Assisting with departmental financial responsibilities, including budget planning and capturing.
- Placing orders and tracking expenditure and progress.
- Maintaining University Timetable Committee documentation and records.
- Updating the Timetable Distribution List every two months.
- Providing administrative support for UTC meetings, including attendance, documentation display and book binding.
Minimum Requirements
Applicants must have:
- An NQF Level 6, three-year Diploma in Business Administration, Communication, an IT-related field or a relevant qualification.
- At least 2 years’ experience in academic administration at a tertiary education institution.
- Knowledge of and at least 1 year’s experience using scheduling software, such as CELCAT, Syllabus Plus or a similar system.
- Well-developed IT skills and experience using MS Office Applications, Oracle, Perceptive Content and IDU.
- Good knowledge of and at least intermediate-level experience in MS Excel.

Recommended Experience
The following will be advantageous:
- Experience in timetabling and/or venue bookings within tertiary academic administration.
- More than one year’s experience using CELCAT Scheduling Software.
- At least one year’s experience using the ITS Integrator Student System supplied by Adapt IT.
- Excellent IT skills involving MS Office Applications, Oracle, Perceptive Content, HEDA, BI reporting and IDU.
- Advanced MS Excel knowledge and skills.
- Knowledge of UJ policies and procedures relating to timetable construction and ad hoc venue bookings.
