About the Role

Life Westville Hospital is seeking a professional and customer-focused Admission Clerk to join its Finance and Administration team. Reporting to the Reception Supervisor, the successful candidate will be responsible for managing patient admissions, pre-admissions, discharges, billing administration, medical aid authorisations, and reception duties while ensuring excellent patient service and compliance with hospital procedures.

This opportunity is ideal for candidates with healthcare administration experience, strong customer service skills, and knowledge of hospital admission processes.

Key Responsibilities

Patient Admissions & Reception

  • Process patient admissions and discharges according to hospital protocols.
  • Perform reception and switchboard duties when required.
  • Ensure smooth and efficient patient registration processes.
  • Assist with pre-admissions and related administrative activities.

Medical Aid Authorisations

  • Liaise with medical aid schemes to obtain pre-admission and admission authorisations.
  • Manage daily No-Auth screens to facilitate patient authorisation.
  • Follow up on unregistered babies with medical schemes to secure admission authorisations.
  • Clear rejection screens daily to reduce financial risk.

Administration & Billing

  • Capture and process patient information accurately.
  • Complete coding, billing, finalisation, and submission of casualty files.
  • Prepare estimates for private patients according to group protocols.
  • Maintain accurate patient and financial records.

Cash Handling & Banking

  • Receive and receipt payments from patients.
  • Collect co-payments, deductibles, and private patient fees.
  • Maintain drop-safe registers and ensure secure cash handling.
  • Conduct daily banking procedures.
  • Ensure compliance with financial controls and hospital policies.

Compliance & Support

  • Adhere to all admission and pre-admission protocols.
  • Understand and follow COID (Compensation for Occupational Injuries and Diseases) admission processes.
  • Assist with additional duties assigned by management.
  • Work rotational 12-hour shifts, including weekends, public holidays, and night duty when required.

Minimum Requirements

Essential Qualifications

  • Grade 12 (Matric).
  • Computer proficiency in Microsoft Office Suite:
    • Word
    • Excel
    • Outlook
    • PowerPoint
  • Academic qualification verification checks will be conducted.

Essential Experience

  • Experience within a healthcare or hospital environment.
  • Customer service experience.
  • Knowledge of admissions procedures.
  • Accurate cash-handling experience.
  • Experience dealing directly with customers and patients.

Advantageous Experience

  • Working knowledge of Impilo and Imeds systems or similar hospital admission systems.
  • Understanding of the private healthcare sector and its stakeholders.
  • Knowledge of medical terminology and hospital procedures.
  • Basic financial administration knowledge.
