Overview

The Agricultural Research Council (ARC) is seeking a highly organised and proactive Administrative Assistant to provide full secretariat and office support to the Nutrition Team at API in Irene. This role requires strong coordination, procurement, and office management experience.


Key Responsibilities

Administrative & Secretariat Support

  • Arrange meetings (agendas, attendance registers, minutes, venues, refreshments).
  • Compile submissions and relevant documentation.
  • Manage copier/printer usage and stationery control (project-based).

Procurement & Financial Administration

  • Process SAGE requisitions, quotations, orders, GRNs, invoices.
  • Handle travel arrangements, bookings, and tickets.
  • Manage petty cash (withdrawals, approvals, reconciliations, summaries).
  • Liaise with suppliers and contractors.

Stores & Asset Management

  • Monthly stock counts and quarterly asset checks.
  • Supervise responsible store personnel and cleaner (contracted).
  • Maintain stock lists and asset registers.

IT & Equipment Support

  • Replace printer toners and assist with printer/server issues.
  • Supervise electronic equipment usage and sign-out system.
  • Liaise with ITC department.

Facilities & Liaison

  • Assist with building maintenance and exhibitions.
  • Liaise with departments, suppliers, stakeholders, and transport services.
  • Ensure compliance with ARC IP and ITC policies.
  • Monitor first aid kits and fire extinguisher services.

Minimum Requirements

  • National Senior Certificate (Grade 12) with 5 years’ administrative experience.
  • Administration/Secretarial Diploma (advantage).
  • Experience with ESS and/or SAGE (advantage).
  • Project administration experience (beneficial).
  • Petty cash management experience (advantage).
  • Valid South African driver’s licence.
  • Proficiency in MS Office.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple tasks and maintain confidentiality.
  • Experience in ISO 17025 / accredited laboratory (advantage).
